A medical store sells hundreds of items, each with its own batch, expiry date, MRP and tax rate. At the counter the customer wants the bill in seconds; behind the counter the owner needs to know what is expiring, what is selling and what the supplier still owes. Good pharmacy billing software handles both. This checklist covers what to look for before you buy or build one.
1. Counter billing speed
The counter is where software is judged. Test these in a demo, with a real item list if possible:
- Search by medicine name, salt (generic name) or barcode, with spelling-tolerant search.
- Batch and MRP fill automatically, choosing the nearest expiry batch first.
- Strip and tablet (loose) sale both work, with the price calculated correctly.
- Discounts, credit customers and returns take one or two steps, not five.
- The bill prints on a thermal printer and can also go to the customer on WhatsApp.
2. Batch and expiry control
Expired stock is pure loss. The software should:
- Track every purchase batch with its own expiry and purchase rate.
- Warn before items expire, for example 30, 60 or 90 days in advance, as you choose.
- Show a near-expiry report so you can return items to the supplier in time.
- Block the sale of expired batches at the counter.
3. Purchase entry and suppliers
Typing every supplier invoice by hand is slow and error-prone. Look for purchase entry that remembers each supplier's items, supports free quantity and scheme discounts, and ideally imports the distributor's invoice file instead of retyping it. Supplier ledgers, purchase returns and payment reminders should be part of the same system.
4. GST billing and returns data
Medicines fall under different GST rates, and rates change from time to time. Instead of trusting a vendor's default list, make sure that:
- Each item carries its HSN code and GST rate, and you can update rates in bulk when the government changes them.
- Invoices show the tax breakup correctly.
- Sales and purchase data export cleanly for GST return filing, or to Tally if your accountant uses it.
- E-invoice support is available if your turnover crosses the e-invoicing limit, which matters mostly for distributors and large chains.
Confirm the current rates and rules with your CA. Our GST billing software checklist covers general GST features in more detail.
5. Schedule H, H1 and prescription records
Under the Drugs and Cosmetics Rules, many medicines can be sold only on a prescription, and Schedule H1 drugs need a separate register with details such as the patient, prescribing doctor, drug and quantity. Software that records this at the time of sale saves hours during an inspection. Check that it can:
- Flag scheduled items at billing and ask for doctor and patient details.
- Print the Schedule H1 register for any date range.
- Store a photo of the prescription with the bill, if you want that.
Your licence conditions and the drug inspector's requirements are the final word, so ask your pharmacist-in-charge to review the register format.
6. Stock, reorder and dead stock
- Minimum stock levels with a suggested purchase list.
- Fast-moving and slow-moving reports.
- Dead-stock report for items that have not sold in months.
- Stock audit with a barcode scanner or mobile phone.
7. Customers, doctors and refills
Regular customers buying monthly medicines are the most valuable customers of a medical store. Software that keeps their history, sends a refill reminder on WhatsApp and handles credit accounts helps you keep them. Doctor-wise sales reports are useful if nearby clinics send you patients.
8. Multi-store, distributors and clinics
| Business type | Must-have features |
|---|---|
| Single retail medical store | Fast billing, batch and expiry, GST, H1 register, reorder list |
| Chemist chain | Central item master, stock transfer, branch-wise reports, user rights |
| Wholesale distributor | Party-wise rates, schemes, credit limits, salesman and route reports, e-invoice |
| Clinic or hospital pharmacy | Prescriptions flowing from the doctor, patient-wise billing, link to clinic software |
9. Hardware and backups
Check support for your barcode scanner, thermal printer and cash drawer before you pay. Ask how data is backed up, whether the software works during an internet outage and how quickly support responds during shop hours, since a stopped counter means lost sales.
Mistakes to avoid
- Going live without importing the item master and opening stock properly. Wrong opening stock ruins every report after it.
- Letting every staff member edit rates and delete bills. Use user rights and keep an activity log.
- Not testing loose tablet sale and returns before launch.
- Choosing on price alone and discovering yearly renewal, per-user and support charges later.
